Bills & Payments
Automated payments and debtor management
Run debtor management inside OnboardMe. See who owes what, what will be collected, what was paid, and how the money lands in your ledger, without a second login for day-to-day collections.
Optional. If you do not turn it on, billing stays as it is today.
Region | Powered by | Notes |
|---|---|---|
Australia | Pinch | Card and bank debits. The Pinch Merchant Portal is no longer needed for routine collections, scheduled payments, failures or settlements, but remains available. |
New Zealand | Pinch | Card only. Pinch does not support bank accounts in New Zealand yet. |
United Kingdom | Stripe | Same debtor workflow with a connected Stripe account. |
South Africa | Not yet | Coming soon. |
Firms using Apxium Payments are unchanged. The Apxium integration works as before.

What you can do in OnboardMe
Feature | What it does |
|---|---|
Automated payments | On the due date, OnboardMe takes payment from the client's saved card or bank account. Choose which branding themes are included, a preferred method when both are on file, an optional maximum per payment, and how far back to catch up overdue bills (up to 90 days). Catch-up bills are scheduled at least a day ahead so you can review or pause them first. |
Scheduled payments | See what will run, what is on hold, what failed, and what will not collect (and why). Pause, release and resolve failures against the client and the bill. |
Debtor workflow | Set the steps that chase overdue bills: reminder emails and SMS, assigning staff, and updating collection status. Steps can be limited to branding themes, and only themes with |
Client emails | Turn on the notices you want: payment scheduled, upcoming reminder, receipt, failed payment, and a prompt to add a payment method. Pay now links open the OnboardMe customer portal, where outstanding invoices live, instead of the Pinch portal. |
Statements | Generate a snapshot for a period, review who should receive it, then email it from OnboardMe. Choose an activity statement (opening balance, then invoices and payments) or an open item statement (outstanding invoices only), with an optional Pay now button when an amount is still due. |
Xero | With Xero Ledger connected, a successful collection can mark the invoice paid in Xero, and settlements can reconcile to the bank account you choose. You can still collect without Xero. Mark-paid updates and settlement reconciliation are designed for firms with Xero Ledger connected. |
How to turn it on
Go to
Settings>Businessand openPayment Settings.Open
Debtors & paymentsand chooseSet up debtors & payments.Work through Collection, Settlements (or start collecting, if you are not on Xero yet), Bills, Notifications, Overdue reminders and Statements.
Click

IMPORTANT: If you are already using Pinch and the Pinch Merchant Portal, please contact [email protected] for instructions on how to migrate across. Setting up OnboardMe Automated Payments and leaving Pinch Merchant Portal running will cause Duplicate payments to occur.
You need an approved OnboardMe Payments connection: Pinch for Australia and New Zealand, or Stripe for the United Kingdom.
How to send statements
Go to
Bills & Paymentsand openStatements.Click
Generate, choose the period, and pick Activity statement or Open item statement.Review the list and untick anyone who should not receive it.

Surcharging is off for Australian firms
Card and direct debit surcharging is now disabled for every Australian business. OnboardMe no longer adds a surcharge when an Australian client pays, and the surcharge options are no longer shown under Payment Settings. You do not need to change any settings.
Discount a preferred payment method
Encourage clients to pay by card or direct debit by offering a discount on that method instead of a surcharge.
Detail | How it works |
|---|---|
Scope | Applies across the firm. Clients see it on proposals, bills and payment links. |
Method and amount | Choose Credit Card or Direct Debit, then a discount of up to 10%. |
When it applies | When the client pays with that method, the unpaid balance is reduced before the bill is issued. A $0 line on the bill notes the discount. |
Xero and QuickBooks | Bills already in Xero or QuickBooks are updated there too. |
Not discounted | Bills already sent to GreatSoft or FreeAgent, or already part-paid in the ledger. |
Staff payments | When staff take a payment, OnboardMe asks whether to apply the discount to that bill. |
How to turn it on
Go to
Settings>Businessand openPayment Settings.Under Billing, set Preferred payment method discount to Yes and confirm. This applies to the whole firm.
Choose the preferred method and enter the discount percent (maximum 10%).
Save Payment Settings.
New Zealand: Direct debit is not available as the preferred method yet, so use card.
One experience, for clients and for your team
A client used to meet a different screen for every step. A proposal, an onboarding, an eForm, the customer portal and an ethical letter now share one design, so moving from one to the next feels like the same product.
For your clients
Your logo and the steps sit on the left. The work sits on a clear page to the right, in simple sheets, with the next action kept in view.
Signing a proposal, finishing onboarding, completing a form, paying a bill in the portal and responding to a clearance letter all follow that same path.
Practices that use Professional Clearance see the same layout on those letters.
For your team
List pages use the height of the screen. The title, tabs and filters stay in place, and the list fills the space underneath and scrolls on its own.
Proposals, clients, onboarding, eForms, ethical letters, checklists, users and Bills & Payments share one table style. Headings are quieter, rows have more room, and row actions stay out of the way until you need them.
Tabs, including those in Bills & Payments, use the same bar, so it is easier to see the record, its status and what to do next.
Proposals
Include subscriptions on a proposal
Add client subscriptions to a proposal. They stay Pending proposal until the client accepts, and billing starts when the proposal is accepted.
On the proposal Billing step, use Subscriptions and click
Add subscription. The client must already be on the proposal. Each subscription shows its price, frequency and start date.
The client sees the subscriptions on Billing and Payment, with a note that they start once the proposal is accepted.
When the client accepts, or staff mark the proposal accepted, the subscriptions become active and billing starts.
Remove a subscription before acceptance if it should not start. If the proposal is declined or cancelled, the subscriptions do not start.
How to add one
Open the proposal and go to the Billing step.
Under Subscriptions, click
Add subscription.Choose the subscription, pricing and start date, then save.
Send the proposal as usual. The subscription becomes active when the proposal is accepted.
Automated reminders
Pause reminders from activity history
Pause automated reminders for one item from its activity history, without changing the reminder settings for the whole practice. The same control is on proposals, onboarding, eForms, ID verification and ethical letters (professional clearance).
An Automated reminders panel sits at the top of the history. It shows how many reminders have been sent, your practice maximum, and when the next one is due.
Pause remindersstops further automated reminders for that item only. The panel changes to Automated reminders paused.Resume remindersstarts them again. Pausing does not reset the reminder count, and it does not use a subscription request.Pause and resume are written into the history as Reminders paused and Reminders resumed.
The button shows while the item is still due to receive automated reminders and your practice has automated reminders turned on.
Each list has a
Reminders pausedfilter so you can find paused items.

eForms
Preview Word and Excel files in a form response
When you review a completed eForm, you can now open the Word and Excel files a client attached or uploaded without downloading them first. They open in a preview window that looks like the original file. PDFs and images can be previewed there too.
File type | What you see in the preview |
|---|---|
Word (.docx) | The document laid out in pages, as it would appear in Word. Links open in a new tab. Comments are not shown. |
Excel and spreadsheets (.xlsx, .xlsm, .xls, .csv, .ods) | A grid with column letters and row numbers. If the file has more than one sheet, each sheet has its own tab. |
Older Word files (.doc) cannot be previewed. Use
Download documentto open them.Large spreadsheets show the first 1,000 rows and 100 columns. A note at the top reads Showing the first 1000 of N rows. Download the file to see everything.
An empty sheet says This sheet is empty.
If a file cannot be previewed, you will see This file could not be previewed. Download it to view. Download the file to open it instead.
How to preview an attached file
Open the completed eForm to review the response.
Find the attached file next to the answer, or under Attachment.
Click the
Preview file(eye) button.Scroll through the document, or switch between sheet tabs in a spreadsheet.

Integrations
Prefix signed proposals filed to FYI
Firms connected to FYI (FYI Documents or FYI Elite) can add a prefix to the file name when a signed proposal is saved to FYI. That covers the automatic file after everyone has signed, and when staff use Save in FYI.
Setting | Result |
|---|---|
Prefix Signed 2026 Proposal - | Signed 2026 Proposal - Annual accounts.pdf |
Prefix left blank | The proposal name on its own |
The prefix can be up to 100 characters.
This changes the name stored in FYI. It does not change the proposal title the client sees.
How to set the prefix
Go to
Settings>Integrationsand openFYI.In Signed proposal prefix, enter the text that should appear in front of the file name.
Click away from the field to save. Clear the field and click away again to remove the prefix.
Clients
Forms tab on Client Edit
When you edit a client, a Forms tab lists the eForms for that client.
The list shows the form name, status, recipient, date sent and date completed.
Click a row, or the open icon, to open that form in eForms.
Use
Refreshto reload the list. If the client has no forms, the tab says No forms for this client.
How to open it
Go to
Clientsand open the client. On the edit screen, open the
Formstab.Click a form to open it.

Account
Subscription and wallet invoices
OnboardMe now emails your practice its own invoices each morning. The email covers subscription invoices and wallet top-ups from the previous day and goes to the billing email on your account. If several invoices were raised, they go out together in one email, each as a PDF.
The same invoices are on Settings > Account, on the Wallet tab, under Invoices. Download a PDF from that list at any time. It shows the date, number, description, total, and whether the invoice has been emailed.
