Leads: track prospects from first contact to client

Markdown

The Leads page is where you keep every prospective client until they sign on. Each lead has a stage in your pipeline, an owner, a value and a full history of calls, emails, meetings, notes and tasks. When a lead accepts a proposal, OnboardMe turns them into a client and marks the lead as won.

Why it helps

  • See your whole pipeline at a glance, as a table or as a board.

  • Know when you last spoke to each lead and what the next step is, so nobody slips through the cracks.

  • Leads move along your pipeline on their own as proposals are sent, opened, declined and accepted.

  • Insights show where leads come from, how many you win and where they stall.

Tip: Setting up for the first time? Start with Set up your leads pipeline.

Open the Leads page

Click Clients in the menu, then Leads & Deals. The page has four tabs:

Tab

What it's for

Leads

Your leads as a table or board, with filters and a summary.

Follow-ups

Tasks that are due across your leads and clients. See Follow-ups and task reminders.

Insights

How your pipeline is converting. See Leads Insights.

Deals

Your separate deals pipeline.

The summary

The cards at the top show your Leads count, the Total value of your leads and the Average value across leads that have one. The Status and Source bars show how your leads are spread. Click any segment to filter the list to it, and click it again to clear the filter.

Table view

Each row is one lead. The columns are:

Column

What it shows

Name

The lead's name, with their email underneath.

Source

Where the lead came from, for example Website or Referral.

Status

The lead's stage in your pipeline.

Value

What the work is likely to be worth.

Owner

The staff member looking after the lead.

In stage

How long the lead has been in its current stage. It turns orange after 30 days.

Last contacted

The last call, meeting or email logged against the lead.

Next step

The lead's next open task and when it's due. None set in orange means an open lead has no next step.

You can change Source, Status, Value and Owner straight from the table. Click the cell, pick or type the new value, and it saves straight away.

Click a column heading to sort by it. Sorting by Last contacted or Next step is a quick way to find leads that need a call.

Click anywhere else on a row to open the lead. See Work a lead below.

Board view

Click Kanban to see your leads as cards in a column for each stage. Each card shows the lead's source, value, owner, days in stage and next step.

The Leads board

Drag a card to another column to change the lead's stage. If you drop it in a Lost stage, OnboardMe asks why the lead was lost. Pick a reason, or click Skip.

Tip: OnboardMe remembers whether you last used the table or the board.

Use the row of filters above the list:

  • Search name or email finds a lead as you type.

  • Status, Source, Owner, Partner and Manager narrow the list. Owner also lets you pick Unassigned.

  • Office shows when your business has more than one office.

  • Include lost leads shows leads in Lost stages. They're hidden by default.

Clear filters resets them all.

Add leads

  • Click New Lead, choose the client type and fill in their details. Use the Lead Details tab to set the status, source, value and pipeline fields before you save.

  • Click Import Leads to bring in a list of leads from a spreadsheet.

  • Leads also arrive on their own from your lead, form and proposal links, and from integrations that use the OnboardMe API.

Work a lead

Click a lead to open it. You can see everything about the lead without leaving the list.

A lead opened from the Leads page

  • The top shows the lead's email, stage and value, with Create proposal and Open full record.

  • Activity on the left is the lead's timeline. Log calls, meetings and emails, add notes and set tasks here. See Log activity and tasks.

  • Last contacted, Next step and In stage sum up where the lead is at.

  • Pipeline holds the owner, expected close date, rating and who referred them. Change them and click Save.

  • Stage history shows every stage the lead has been in. See Stages and pipeline fields.

Open full record opens the lead's client record, where the Lead Details tab shows the same activity and pipeline information.

When a lead becomes a client

When a lead accepts a proposal, OnboardMe makes them an active client and marks the lead as won. The lead leaves the Leads list, but its history stays with the client under Notes and Documents > Lead history. See Lead history on clients.
