Track deals on the Leads & Deals page
Use the Deals tab to record pipeline opportunities, link them to a client or group, track status and value, and keep notes as the deal progresses.
Before you start
Open Leads & Deals from the main navigation.
Select the Deals tab (next to Leads).
To link a deal to a person, that person must already be a client in OnboardMe (not only a lead).
Staff with read-only access can view deals but cannot create or edit them.
What you see on the Deals tab
At the top of the page you get a quick summary of the deals matching your current filters:
Total deals - how many deals are in the filtered list
Total value - sum of deal values
Average value - average deal value
Below that, use the filters to narrow the list, then switch between Table and Kanban views.
Add a new deal
On the Deals tab, click New Deal.
Enter a Name (required).
Optionally enter a Value.
Choose a Status and Source from your practice's options (these can be customised by an admin - see below).
Link the deal to either a Client or a Group using the toggle:
Client - search for an existing client (type at least two characters). Leads cannot be selected here.
Group - pick an active client group.
Optionally add a note when creating the deal: enter both a Note subject and Note, or leave both blank.
Click Save.
Find and filter deals
Search - enter part of the deal name, then press Enter or click the search icon.
Status / Source - filter to one status or source, or clear the filter to show all.
Include lost deals - turn this on to include deals marked as lost; by default they are hidden.
Summary totals and the table/kanban list update to match your filters.
Table view
Table view lists each deal with:
Name
Client / Group
Status and Source
Value
Updated date
Click a row (or the edit icon) to open the deal. Use the notes icon on a row to open notes for that deal without leaving the list. Use Previous / Next when there are more pages of results.
Kanban view
Click Kanban above the list.
Deals appear in columns by status (plus an Unassigned column if any deal has no status).
Click a card to open and edit the deal.
Kanban uses the same filters and search as table view.
Edit a deal
Open the deal from the table or kanban.
Update name, value, status, source, or the linked client/group.
Click Save.
When editing an existing deal, notes appear at the bottom of the modal so you can review history while you update details.
Deal notes
Notes keep a running record of conversations and next steps for a deal.
From the table, click the notes icon on a row, or
Open the deal and use the notes section in the edit modal.
You can add, edit, and delete notes (subject to your permissions). Each note has a short subject and rich-text body.
Manage statuses and sources (admins)
If you are a practice admin (and not read-only), use Manage options on the Deals tab to maintain the lists of statuses and sources used in filters and deal forms - including labels, order, and whether an option is active.
Tips
Link deals to a group when the opportunity spans multiple related clients.
Keep statuses meaningful for your pipeline (for example Qualification, Proposal, Won, Lost) so kanban and filters stay useful.
Add a short note when you create a deal so the context is not lost later.
