Import your Terms and Conditions from Word

If your Terms and Conditions or engagement letter are already in Microsoft Word, you can bring them straight into OnboardMe. Upload the .docx file or paste the content, and OnboardMe converts it into an editable terms template. Templates exported from Ignition or based on the IPA engagement letter are recognised and cleaned up for you.

Why it helps

  • No retyping. Headings, lists, tables, and formatting carry across from Word.

  • Switch from Ignition faster. Ignition placeholders are converted to OnboardMe merge fields and signature blocks in one step.

  • Fully editable afterwards. Imported terms work like any other text terms, with merge fields, input fields, and per-proposal customising.

Before you start

  • You need the Owner or Admin role.

  • Have your terms saved as a Word .docx file. Older .doc files need to be saved as .docx in Word first.

  • Word import works in the text editor. It is not available for PDF terms.

Upload a Word document

  1. Go to Templates > Proposals > Terms & Documents.

  2. On the Proposal Terms tab, open the Text terms sub-tab.

  3. Click New Template and enter a Template name, or select an existing template to add the content to.

  4. Click in the editor where the content should go.

  5. In the toolbar, open Insert and choose Upload Word (.docx).

  6. Select your file.

  7. If OnboardMe recognises an Ignition / IPA style template, the Clean up imported template window opens. See Clean up an Ignition or IPA template below.

  8. Check the imported content, then click Preview.

  9. Click Create Template (or Update Template if you added to an existing template).

When the import works you see Word document imported successfully.

Paste from Word

Use this if you only want part of a document, or the upload does not give the result you want.

  1. In Word, select and copy the content (Ctrl+C, or Cmd+C on a Mac).

  2. In the terms editor, open Insert and choose Paste from Word.

  3. Paste into the box (Ctrl+V or Cmd+V).

  4. Click Insert.

Tip: You can also paste directly into the editor. Paste from Word gives the cleanest result for long documents with numbering and tables.

Clean up an Ignition or IPA template

When your file contains Ignition placeholders or IPA style alternatives (such as We/I or <30 June 20XX>), OnboardMe shows Clean up imported template before inserting the content. The window shows how many of each item it found, then lets you decide how to handle them.

Option

What to choose

Writing voice

Firm voice (we / our / us) or Individual voice (I / my / me). Applied to every We/I, Our/My, Us/Me style alternative.

Firm name

Shown only when needed. Used where the template has Firm's name / me alternatives.

Date placeholders

What every <30 June 20XX> style date becomes: Proposal End ([ProposalEnd]), Proposal Start ([ProposalStart]), Date ([Date]), Custom text, or Leave as-is.

Professional hourly rates

Enter your rate for each role to replace $ per hour lines. Leave a rate blank to keep the placeholder.

Under Cleanup options, these steps are ticked by default. Untick any you want to handle yourself in the editor:

  • Convert Ignition placeholders to OnboardMe merge fields. For example, practice name becomes [BusinessName], client name becomes [ClientName], proposal sent date becomes [Date], and signing lines become [SIGNATURE:Signer].

  • Remove template comments. Removes the guidance notes left in Ignition / IPA templates.

  • Remove estimated fee line. Removes the estimated fee ... $, GST inclusive sentence, because OnboardMe shows fees from the proposal's services.

  • Clean remaining Liquid tags. Removes leftover {% if %} style markup. For simple if/else blocks, the else wording is kept.

Click Apply & insert to add the cleaned content, or Cancel import to stop without changing your template.

Check your terms after importing

Work through this checklist before you use the template on a proposal:

  1. Look for any warnings above the editor about merge fields that are not recognised, and fix them.

  2. Search (with find and replace) for leftover placeholders such as <, XX, or $<.

  3. Add [Section:...] tags to your main headings so the PDF contents page links to them.

  4. Make sure there is a [SIGNATURE:Signer] block if the client should sign within the terms.

  5. Replace details that change for each client with merge fields or input fields.

  6. Click Preview and check numbering, tables, and page breaks.

Note: Your logo, branding, and practice details are added to the proposal by OnboardMe, so you do not need to import Word headers or footers.
