Use input fields so unique details (for example a commencement date) can be filled in on each proposal, by your team or by the client during review.
Before you start
Input fields work on text terms and additional documents. They are not available on PDF terms.
Add the fields on the document template first, then attach that template to a proposal or a proposal template.
Editing shared term and document templates is available to practice Owners and Admins.
Add an input field to a document
Go to Templates > Terms & Documents.
Open Proposal Terms (text terms) or Additional documents.
Select an existing template, or create a new one.
Place the cursor where the blank should appear and click Input field in the editor toolbar.
Choose a field type and enter a label (for example, Commencement date).
Click Insert, then save the template.
Field types are Text, Long text, Number, Date, Email, and Phone. The label cannot contain a colon or a closing bracket.
Use the document on a proposal template
Go to Templates > Proposal Templates and open a template (or click New Template).
On the Terms & Documents step, select the terms and additional documents that contain your input fields.
Save the proposal template.
New proposals created from that template will include those documents and their blanks.
What your team does when preparing a proposal
On the proposal Terms & Documents step, documents with blanks show This document has details that need to be filled in for this proposal. Click Fill document details to complete any values you already know. Leftover blanks stay in the document for the client.
You can also click Customise for this proposal on text terms or additional documents to insert extra input fields for that proposal only, without changing the shared template.
What the client sees and does
The client opens the proposal and works through the review steps as usual.
On the Terms step (and any additional document steps), remaining blanks appear in the document as fields. The placeholder shows the field label you set (for example, Commencement date).
The client types the missing details directly in the document. Date, email, phone, and number fields are checked so the value matches the field type.
The accept checkbox stays unavailable until every blank on that document is complete. The checkbox reads I have read, understood and accept the terms (or the additional document name).
If they try to continue with blanks still empty, OnboardMe asks them to Complete the required details before continuing.
Once filled, the answers are written into the document and stay with the proposal.
Tips
Use the same label and the same type if the value should appear more than once in the document.
If the same label is used with different types, the first type is used when filling the document.
Australian practices can use the same input fields in STP authority documents.
