Document Templates let your practice define reusable document lists and an Ethical Letter PDF library. Set these up once, then reuse them when requesting documents on onboarding or ethical / professional clearance.
Before you start
You need an Owner or Admin role. Other users are redirected away from this page.
Go to Templates > Document Templates.
The page has three tabs:
Onboarding Documents - default upload lists by entity type for client onboarding
Ethical Letter Documents - default list of documents to request from a previous accountant
Ethical Letter Attachments - PDF library you can send with an ethical letter
Onboarding Documents
Use this tab to define which documents clients should upload for each entity type (for example Individual, Company).
Open the Onboarding Documents tab.
Click an entity type row.
In Manage Documents, enter document names. Drag rows to reorder.
Click Add Document for more lines, or remove lines you do not need.
Click Save.
When staff set up onboarding (or use External Links with onboarding), they can turn on Request Documents and use Refresh from templates to load this list for that entity type.
Require documents for all onboarding clients
Optionally enable Require Documents for all Onboarding Clients under Settings > Business (Additional details).
When enabled, new entities added during onboarding automatically get document requirements from your Onboarding Document Templates for that entity type.
If an entity type has no template documents, nothing is auto-created for that type.
Configure your onboarding templates before turning this on.
Ethical Letter Documents
Use this tab for one practice-wide ordered list of documents you commonly request from a previous accountant.
Open the Ethical Letter Documents tab.
Click Manage Documents.
Add, rename, reorder (drag), or remove document names. Each name must be unique (max 100 characters).
Click Save.
When creating or editing an ethical / professional clearance, turn on Request documents under Request from accountant. Use Refresh from templates to load this list into the clearance.
Ethical Letter Attachments
Use this tab to store practice PDFs that can be included when you send an ethical letter.
Open the Ethical Letter Attachments tab.
Add or edit attachments (name, details, PDF file). Mark items inactive when they should no longer appear in the picker.
When sending a letter, under Send with your letter, select attachments from this library.
Attachments are outgoing files from your practice. They are separate from Ethical Letter Documents, which are items you ask the accountant to upload.
How clients and accountants use requested documents
Onboarding clients see Requested Documents (and can upload optional additional documents). Incomplete required documents can block finishing onboarding unless a missing document is explained.
Previous accountants responding to an ethical letter see the requested list, can upload or mark items as not providing, and can add optional additional documents.
Not the same as
Templates > Terms & Documents - proposal / engagement wording and documents, not client upload checklists
eForm Attachments - files clients can download on eForms (and optional file-upload questions on a form), managed under eForms, not Document Templates
