Migrating client payments from Ignition
You can bring clients, services, and proposal history into OnboardMe. Saved cards and bank accounts from Ignition (Stripe) cannot come with them. The good news: collecting new payment details is quick, and your clients do it themselves.
Why payment methods cannot be imported
Ignition stores client payment methods in Stripe. For security reasons, those saved cards and bank accounts cannot be copied into OnboardMe. There is no file export, CSV, or integration that can move them for you.
That is normal when you change practice software. Clients already pay you this way, so asking them to save a card or bank account again is a short, familiar step, not a new onboarding project.
The easy way to collect new details
Send a secure link. The client adds a card or bank account in a couple of minutes, in your branding. You get an email when a new payment method is saved. After that, you can bill them in OnboardMe as usual.
Choose the option that fits how you work:
Customer Portal - send a payment portal link now, including in bulk. Best when you want details on file before the next bill.
Proposal - turn on Payment Details when you send the next proposal. Best when you are re-engaging clients anyway. They add payment details as part of accepting.
Before you start
Connect your payment provider in OnboardMe (Pinch or Apxium in Australia, Stripe in the UK and New Zealand).
Have the client in OnboardMe with a working email address.
Create or link the client with your payment provider if you have not already. The Payment Status Dashboard can do this in bulk.
Option 1: Send a Customer Portal link
The OnboardMe Customer Portal lets the client add or update a card or bank account on the Payment Methods tab, without signing into your practice software.
Send to one client
Go to Clients and open the client.
Open Payment Details.
Click Send Payment Portal Link.
OnboardMe emails them a secure link using your Payment Portal Link template. When they open it, they land in the Customer Portal ready to save a payment method.
Send to many clients at once
Go to Clients and open Payment Status Dashboard.
If a client is not set up with your payment provider yet, select them and click Create/Link selected.
Select the clients who still need payment details and click Send portal link.
This is the fastest way to catch up a whole client list after you migrate.
Option 2: Collect details with a Proposal
If you are sending a new or renewal proposal, collect payment details in the same flow. The client reviews the proposal, saves a card or bank account, then accepts. One email, one job done.
Create a proposal as usual.
On the proposal setup step, turn on Payment Details.
Send the proposal to the client.
When Payment Details is on, the client must provide a card or bank account before they can accept. That is ideal for existing Ignition clients you are moving onto an OnboardMe proposal.
You can also turn Payment Details on by default in a proposal template, so every new proposal asks for it.
What your client does
Opens the portal or proposal link from your email.
Adds a card, a bank account, or both (depending on what your practice allows).
That is it. The details are saved against their OnboardMe record for future bills.
You receive an email when a new payment method has been added.
Which option should I use?
Need details on file quickly, for lots of clients? Use the Customer Portal and send links from the Payment Status Dashboard.
About to send a proposal anyway? Turn on Payment Details and collect it when they accept.
Happy for the client to do it in their own time? Send a portal link. They can add details even if they have nothing outstanding.
