Sensitive eForm questions

Use the Sensitive setting when you need the client to enter a value (such as a tax file number or bank account) but you do not want that full value shown again if they reopen the form.

Before you start

  • Open the eForm in the builder, or edit the template under Templates / eForms.

  • Sensitive is available on Short Answer, Paragraph, Email, Phone, Website, Date, and Number questions. It is not available on Multiple Choice, File Upload, Signature, or Automated Identity Verification.

Turn on Sensitive

  1. Add or select the question.

  2. Open Question settings (the settings icon on the question).

  3. Turn on Sensitive.

  4. Save the form or template.

The question shows a Sensitive badge in the builder. Tax file number questions are treated as sensitive automatically (see below), so you do not need to turn the switch on for those.

What the client sees

  1. The first time they complete the question, they type the full value as usual.

  2. OnboardMe stores the real answer.

  3. If they reopen the form later, they see a masked value instead of the full answer, plus a short note that a value is already saved.

  4. To replace it, they click Update this answer, type a new value, and save. To leave the saved value unchanged, they click Keep saved answer.

If they save without updating, the original stored answer is kept. Clearing the field and saving also keeps the original stored answer.

How the value is masked

You do not choose which characters to hide. OnboardMe picks a mask from the question type:

  • Tax file number (see automatic detection below): only digits are used. All but the last 3 digits are replaced with asterisks. Example: 123 456 789 becomes ******789.

  • Email: keeps the first character of the name part and the full domain. Example: [email protected] becomes j***@firm.com.

  • Date: shown as **/**/****.

  • Short Answer, Paragraph, Number, Phone, Website: keeps the last 3 characters and replaces the rest with asterisks. Values of 3 characters or fewer are fully starred. Example: a phone number ending 222 is shown with asterisks then 222.

If the question also allows a document upload, only the typed answer is masked. File names attached to that question are not masked.

Tax numbers

There is no separate Tax Number question type. Use Short Answer (or similar) and, if you want the client record filled automatically, set Auto-fill answer to the tax file number merge field.

Those questions are always treated as sensitive, even if you leave the Sensitive switch off:

  • Autofill is ClientTaxFileNumber or ClientTaxNumber.

  • Or the question title includes TFN, tax file number, or tax number (not tax agent).

What you see

  • Staff still see the full stored answer when reviewing the eForm in OnboardMe.

  • CSV and PDF exports include the full stored answer.

  • Only the client form (when they reopen it after saving) shows the masked value.
