Set up an eForm external link

Use Type eForm when you want a public link that sends a form template to the person who submits their details. This is a standalone form request, not a full onboarding or proposal.

When to use this type

Choose this when you already have an eForm template and want clients or prospects to request it themselves from your website (or from a shared URL). OnboardMe creates the form from that template and emails them a link to complete it.

To include a form as part of onboarding or after a proposal is accepted, use those link types instead and select the form in eForm Settings. See External Links.

Before you start

  1. Go to Templates, then open External Links.

  2. Click New Link.

  3. Enter a Name your team will recognise (for example "Website tax questionnaire").

  4. Set Type to eForm.

  5. Choose a Requestor.

  6. Decide whether to Send immediately.

  7. Leave Disable link off so the link stays active.

Send immediately

  • On: as soon as the person submits their details, OnboardMe sends them the eForm email.

  • Off: the submission is held for internal review. Choose a Notify employee so someone is emailed when a new submission is waiting. Send the eForm yourself when you are ready.

Form Settings

Open the Form Settings accordion and select a Form Template. This is required for an eForm link. The selected template is what clients receive when they use the link.

Email Template

Open Email Template to customise the email sent when someone uses the link. Only Forms category templates are listed. Custom content must include [Link] or a hyperlink, or OnboardMe uses the default template.

Save and share

  1. Click Save. OnboardMe generates the public URL.

  2. Copy the link from the table with Copy, or open the link and copy Public link.

  3. Add the URL to your website or send it to the person. They do not need to log in.

What the client sees

The public page uses your practice branding and asks them to enter details to submit the eForm. They provide first name, last name, email, and mobile, confirm consent, then submit.

If Send immediately is on, they are told to check their email for confirmation. If it is off, they are told their details have been submitted and you will be in contact shortly.

After a successful submit, that device generally cannot submit the same link again.
