Set up a Proposal with Onboarding external link

Use Type Proposal with Onboarding when you want a public link that starts a proposal first, then continues into onboarding after the client accepts.

When to use this type

Choose this when a new client should review and accept your proposal before they complete onboarding. After they accept, OnboardMe can send them into the onboarding process (and optionally an eForm) using the settings you configure on the link.

If you want a proposal only, with no onboarding after acceptance, use Type Proposal instead. See External Links for the full list of types.

Before you start

  • Have a proposal template (or package templates) ready under Templates.

  • If you will request identity verification, confirm your verification method and wallet balance.

  • If you will include an eForm after acceptance, have the form template ready.

  1. Go to Templates, then open External Links.

  2. Click New Link.

  3. Enter a Name your team will recognise (for example "Website new client proposal").

  4. Set Type to Proposal with Onboarding.

  5. Choose a Requestor. This employee is marked as the creator of the proposal and onboarding.

  6. Decide whether to Send immediately (see below).

  7. Leave Disable link off so the link stays active.

Send immediately

  • On: as soon as the client submits their details, OnboardMe sends them the proposal email.

  • Off: the submission is held for internal review. Choose a Notify employee so someone is emailed when a new submission is waiting. Send the proposal yourself when you are ready.

Proposal Settings

Open the Proposal Settings accordion.

  1. Enter a Proposal Name. You can include [ClientName] so the client name is inserted automatically.

  2. Choose one service configuration (you cannot use both at once):

    • Option 1: Single Template - select one proposal template for every client who uses the link.

    • Option 2: Multiple Packages - offer up to three packages. Each package has a name, price, optional template, and custom text. Mark one as Popular if you want it highlighted.

  3. Set optional proposal details: terms, currency, proposal length, start (on acceptance or a specific date), introduction message, and additional attachment.

  4. Australian practices can optionally select an STP Authority.

  5. Turn on Requires Approval if a nominated approver must approve the proposal before it is sent to the client.

  6. Turn on Require payment details to accept proposal if the client must add payment details before they can accept.

  7. Turn on Create XPM Jobs if you want XPM jobs created for the proposal (XPM must be connected).

  8. Turn on Show Service Menu if clients should be able to add extra services while reviewing the proposal.

For more on packages, see Offer customers more than one package on a proposal.

Onboarding settings

Open the Onboarding accordion. These settings apply after the client accepts the proposal.

  • Default entity type - used when OnboardMe creates the first entity for this link (defaults to Individual for your country).

  • Require ID Verification - choose a verification method. For this type you can run ID verification With this proposal or During onboarding.

  • Require Tax Details - clients must provide their tax number. In Australia this also includes Tax Agent Linking for non-individual entities.

  • Request Documents - add the document names you want clients to upload during onboarding.

See also Request documents during onboarding and Tax Agent Linking Instructions for Client Onboarding.

eForm and email

  • eForm Settings (optional): select a form template to send after the proposal is accepted, as part of onboarding.

  • Email Template: this is the email sent when the client submits the link. Leave it blank (or omit [Link]) to use the default New Proposal template. See Customise email templates.

Save and share

  1. Click Save. OnboardMe generates the public URL.

  2. Copy the link from the table with Copy, or open the link and copy Public link.

  3. Add the URL to your website, email, or a message to the client. They do not need to log in.

What the client sees

The public page uses your practice branding. The client enters first name, last name, email, and mobile, confirms consent, then submits.

If Send immediately is on, they are told the proposal and onboarding process has started and to check their email. They review and accept the proposal first, then continue into onboarding.

If Send immediately is off, they are told their details have been submitted and you will be in contact shortly.

After a successful submit, that device generally cannot submit the same link again for 24 hours.
