Request documents during onboarding

Ask clients to upload specific documents as part of onboarding. Use Document Templates so each entity type gets a consistent checklist.

Before you start

  • Owner/Admin: set up lists under Templates > Document Templates > Onboarding Documents (one list per entity type).

  • Optional: enable Require Documents for all Onboarding Clients in Settings > Business so new entities get those template documents automatically.

Turn on document requests for an entity

  1. When adding or editing an entity on onboarding (or on an engagement / External Link that includes onboarding), turn on Request Documents.

  2. Open the document list and add or edit the names clients should upload.

  3. Use Refresh from templates to load the Onboarding Documents list for that entity type.

  4. Save the onboarding / engagement / link as usual, then send it to the client.

What the client sees

  • Requested Documents - named items they should upload (or explain if missing).

  • Additional Documents - optional extras they can upload beyond your list.

Incomplete required documents can stop the client finishing onboarding until each item is uploaded or explained.

After the client completes

Review uploaded files on the client / onboarding record. If you use document sync integrations (for example FYI, Karbon, or KloudConnect), completed uploads may sync according to your connection settings.
