Use the Compliance area to invite someone to verify their identity. You can send identity verification only, or identity verification plus an AML screening, depending on the method you choose.
Where to start
Open Compliance in the main navigation.
Stay on the ID & AML section (or switch to ID Verification if you prefer that list).
Click New ID Verification.
A form opens where you choose who to verify, how to verify them, and how to send the invitation.
You can also open an existing person from the compliance list and start a verification from their record when that option is available.
Existing client vs Associated
Before you fill in contact details, choose how the person should be recorded.
Existing
Use Existing when the person is already one of your clients in OnboardMe.
Search and select them from your client list.
Name, email, and mobile are filled from their client record (you can adjust email for the invitation if needed).
The verification is linked to that existing client.
Options such as billing the client upfront (where enabled for your practice) are available for existing clients.
Associated
Use Associated when the person is not a full client, but still needs identity verification. Common examples: a director, spouse, or other related individual.
Enter their first name, surname, email, and mobile yourself.
An associated record is created when the verification is sent.
They are not synced to your practice integrations until someone later changes them to an Active client.
Choose this when you only need to verify the person, not treat them as a full client yet.
Quick rule: if they already appear in Clients, use Existing. If they are related to a client but are not a client themselves, use Associated.
Choose a verification method (ID only or ID + AML)
Under Verification Method, pick the check that matches what you need. Available options depend on your practice settings and wallet balance.
Method (as shown in the app) | What it does |
|---|---|
Identity Only | Document and biometric identity check. No AML screening. |
Identity + Standard AML | Identity check plus a standard AML screen (sanctions and PEP level 1 style screening, same as a standard AML check in Compliance). |
Identity + Extensive AML | Identity check plus a more extensive AML screen (higher PEP coverage, adverse media, and related lists, same as an extensive AML check in Compliance). |
Annature - Identity Only / Annature - Identity + AML | Runs through Annature when that integration is connected. |
AML is optional: choose Identity Only (or Annature identity only) if you do not want screening with this send. Choose an Identity + … AML method if you do.
Click the info icon next to the method field for short descriptions of each option.
Fill in the details
Choose Existing or Associated (see above).
For Existing, select the client. For Associated, enter name, surname, email, and mobile.
Confirm the email (required). This is where the verification invitation is sent.
Confirm the mobile if you will use SMS, or if your method requires it (for example Annature).
Select the verification method.
If your practice uses upfront billing for identity verification, and you selected an existing client, you can optionally turn on bill-upfront and choose a Template Bill. This is not available for associated people.
Make sure your practice wallet can cover the selected method (and SMS, if you will send by SMS). Methods you cannot afford may appear disabled until you top up.
Send the invitation
Use the actions at the bottom of the form:
Email (primary): saves and sends the verification invitation by email.
SMS: saves and sends by SMS (needs a valid mobile and enough wallet balance for verification plus SMS).
Save: saves without sending, if you want to finish later.
Copy client link: available for non-Annature methods so you can share the verification link yourself (after the record is ready).
After a successful send, the person receives the invitation and completes verification in their browser (or via Annature, if that method was selected).
You can reopen the verification later from Compliance or the ID Verification list to check status, resend email, or copy the link again.
After they complete verification
Identity results appear against that person in Compliance.
If you chose a method that includes AML, screening results are available with their compliance checks.
For an Associated person, they remain associated until you promote them to an Active client if you want them treated as a full client and synced to integrations.
Tips
Prefer Existing whenever the person is already on your books, so history stays on one client record.
Use Associated for related individuals you need to verify once, without creating a full client first.
Match the method to the risk: identity only for a simple check; add standard or extensive AML when screening is required.
Keep email and mobile accurate before you send, especially for Associated people you are creating for the first time.
If you only need an AML check and no identity verification, use New AML Check on the Compliance page instead of New ID Verification.
Common questions
Can I add AML later if I only sent Identity Only?
Yes. You can run a separate AML check from Compliance with New AML Check, or start a new verification that includes AML if that fits your process.
Why can’t I select Associated?
If you opened verification from an existing client’s record, the person is already fixed as Existing.
Why is a method greyed out?
Your practice may not have that method enabled, or your wallet balance may be too low for that check.
Will an Associated person appear in Clients and sync to Xero or other systems?
Not as a full Active client until you change their status. Until then they exist for verification and compliance purposes only.
