Bulk resend proposals

Use Bulk resend when several proposals need another reminder in one go. You filter by status, load matching rows, tick the ones to include, choose email and/or SMS, then send.

This is different from Bulk proposals, which creates and sends new proposals. Bulk resend only reminds clients about proposals that were already sent.

Open Bulk resend

  1. In the left navigation, click Proposals.

  2. On the Proposals page, find the toolbar above the list.

  3. Click Bulk resend.

The Bulk resend proposals window opens.

Tip: If you already filtered the Proposals list by search (or by user on an enterprise practice), those values are copied into the Bulk resend window when it opens. You can still change them there.

Step-by-step

1. Choose statuses

Under Statuses to include, tick one or more:

  • Sent

  • Opened

  • Awaiting Additional Acceptances

You must pick at least one status. Draft, accepted, cancelled, and completed proposals are not included.

In Search, type a proposal name or client name to narrow the list. Leave it blank to include all matching statuses.

3. Optional user filter

If you see Limit to user, choose a team member to limit results to their proposals, or leave All users.

4. Choose how to send

Under Send via, tick:

  • Email reminder (on by default)

  • SMS reminder (optional)

You must leave at least one channel on.

If you turn on SMS, the window shows an estimated cost based on how many rows you select and your practice SMS rate. SMS is charged from your practice wallet. If the wallet cannot cover the cost and auto top-up is not available, you cannot send until that is fixed.

5. Load matching proposals

Click Find proposals.

Under Proposals to resend you will see either:

  • Matching rows in a table (Proposal, Client, Status), or

  • A message that nothing matched

Notes while reviewing the preview:

  • Expired proposals are excluded automatically.

  • At most 100 proposals can be resent in one run. If more match, only the first 100 are listed. Narrow search or status, resend that batch, then run again for the rest.

6. Select who should get the reminder

  • Tick the checkbox on each row you want to include, or

  • Use the checkbox in the table header to select or clear all visible rows

Only ticked rows are resent. Unticked rows are ignored.

7. Send

Click Resend selected.

To leave without sending, click Cancel.

After you send

You will see one of these outcomes:

  • Success: the selected proposals were resent.

  • Partial success: some resent, some failed. Check the list and use the single-row Resend Proposal action for any that failed.

  • No match / failure: try again after checking filters, selection, and wallet (if SMS was on).

The Proposals list refreshes when the window closes after a successful or partial run.
