Bulk proposals

Send the same proposal template to many clients in one go. OnboardMe creates and sends each proposal in the background, using each client’s existing signatory setup where available, so you are not stepping through the wizard one client at a time.

Bulk proposals from the Proposals page

On Proposals, use Bulk proposals (next to Bulk resend and Renewals). The button is available when you can create proposals (subscription requests or wallet balance) and you have at least one proposal template set up.

Choose template, then clients

The flow has two main steps:

1. Proposal template
Pick which proposal template to use for every client in this run. Templates that include extra steps (for example ethical clearance letters or a linked form) use more of your subscription allowance per client than a simple proposal.

2. Clients
Search and filter your client list, then select who should receive a proposal.

  • Search by name, email, client code, or tax number

  • Filter by office and group

  • Select individuals or use select all on the current list

  • See how many clients you have selected and how many you can afford to include (based on remaining subscription requests and wallet balance)

OnboardMe shows a clear limit so you do not queue more proposals than your plan and wallet can cover.

Queued in the background

When you choose Queue and send:

  • OnboardMe starts a bulk run and processes clients one at a time on the server

  • You can close the window and keep working—you do not need to stay on the page

  • You receive an email when the run finishes with a summary of what succeeded and what failed

  • If anything is interrupted, processing can resume automatically so unfinished clients are not left behind

Past runs and per-client results

Open Bulk proposals again and use the Past runs tab to:

  • See recent bulk sends (date, template, overall status, sent / failed / pending counts)

  • Refresh the list

  • View details for a run to see each client’s outcome

  • Open proposal for any client that was created successfully

Use Send proposals to start another run.

How this differs from creating one proposal

One at a time

Bulk proposals

Open New proposal and walk through the wizard for each client

One template, many clients, one queue

You stay in the flow until each send is done

Work continues while sends run in the background

Best for bespoke changes per client

Best for the same template across a client list (renewals, standard engagements, etc.)

Bulk resend (separate button on the same page) is for sending again to proposals that already exist in a chosen status—it does not create new proposals from a template.

Before vs after

Before

After

Repeat the full proposal wizard for every client

Had to keep the browser open for long sends

Background processing and a completion email

What you need

  • At least one proposal template (engagement preset). If the button is disabled, add templates under your practice template settings (admins can manage these).

  • Enough subscription requests or wallet funds for the number of clients and the template type (heavier templates count as more requests per client).

  • Clients in OnboardMe with the details you need for matching (email helps for sending).

Where to find it

Proposals → Bulk proposals → Past runs or Send proposals.

Tips

  • Check Past runs after a large send to fix any failed clients individually.

  • Use office and group filters to target a segment (e.g. one partner’s book).

  • For a handful of clients with heavy customisation, a single New proposal may still be easier than bulk.
