Sign documents with Annature

If your business uses Annature for e-signatures, you can send OnboardMe signing packs through your Annature account. You build the pack in OnboardMe as usual: the documents (including OnboardMe's ASIC forms), the people and where each one signs. Annature then sends the pack, takes the signatures and issues its certificate. The signed documents come back to OnboardMe automatically.

You can use Annature for:

  • Packs sent from the eSigning page. Annature emails everyone from your Annature account.

  • Packs in an onboarding or proposal. Your client signs with Annature inside their onboarding or proposal, without a separate email.

Why it helps

  • Keep Annature as your signing service, with OnboardMe's templates, ASIC forms and field placement.

  • Everything you and your client filled in is printed on the documents before they go to Annature.

  • Signed copies and Annature's certificate are saved against the client in OnboardMe, the same as OnboardMe's own signing.

  • Packs sent from the eSigning page with Annature don't use an OnboardMe request or SMS.

Note: Signing with Annature is in beta. If you don't see the Annature option, request access from Early Access in your profile menu.

Before you start, connect Annature. See Annature Integration.

Send a pack from the eSigning page with Annature

  1. Click eSigning in the menu, then New pack.

  2. Choose the client, add the people and add the documents, as for any pack. See Send a signing pack.

  3. Under How to send it, set Send with to Annature.

  4. Choose How they sign in:

    • Link only: their Annature link opens the pack straight away.

    • Code by SMS: Annature texts them a code before the pack opens, so each signer and viewer needs a mobile number.

  5. Set Send the link by to Email, or Email and SMS to have Annature also text each person their link.

  6. Click Send pack.

Send with set to Annature on a new signing pack

What happens next:

  • Annature emails each person from your Annature account, using Annature's own email wording and branding. You can't edit the email for an Annature pack.

  • Signers, viewers and people copied in all work as they do in OnboardMe, and One after another keeps its order in Annature.

  • Annature takes care of reminders. OnboardMe's automated signing reminders don't apply.

  • When everyone has signed, Annature emails the signed copy and certificate to everyone, and OnboardMe saves each signed document and the certificate against the client.

Note: If your business always asks for a sign-in code (eSigning > Options > Sign-in settings), Annature packs use Code by SMS. Annature doesn't email sign-in codes.

Manage an Annature pack

Annature packs are listed on the eSigning page with your other packs. Their progress updates as Annature reports it.

Action

With Annature

Send the link again

Annature resends its email (and text, if the pack was texted) to everyone still to act.

Copies that person's Annature signing link. It opens the pack as them, so only share it with them.

Cancel

Cancels the whole pack in Annature. You can't cancel or change one person.

Change a signer

Not available. Cancel the pack and send a new one.

Sign with Annature in an onboarding or proposal

  1. In the onboarding's or proposal's Forms to sign, click Add a signing pack.

  2. Add the client, signers and documents. See Documents to sign in onboardings and proposals.

  3. Under How it's signed, set Sign with to Annature.

  4. Add the pack, then save the onboarding or proposal.

Sign with set to Annature when adding a signing pack to an onboarding

Note: When the pack includes an ASIC form, How it's signed sits under Your business's details on the form.

How it works:

  • Nothing goes to Annature when you send the onboarding or proposal. The Annature envelope is created when your client first opens the pack, so details they entered in the onboarding (for example company details on an ASIC form) are printed on it.

  • Your client clicks Review and sign and signs with Annature in a window inside their onboarding or proposal. Annature sends them no email.

  • Members of your team who sign are emailed by Annature when it's their turn.

  • A client must sign the pack. When the pack signs in order, the client signs first.

  • When everyone has signed, OnboardMe emails the signed documents and certificate to your client and saves them, the same as OnboardMe's own signing.

Your client signing with Annature inside their onboarding

If you cancel the onboarding or proposal, or remove the client or signatory a pack belongs to, OnboardMe cancels the pack and voids its envelope in Annature, so nobody can sign it there either. Documents that were already fully signed are kept.

Limits

  • Each document can be up to 10 MB once it's prepared for Annature (Annature's limit).

  • Annature prints dates as text, so on ASIC forms each DD, MM and YY pair is placed centred over its boxes rather than one digit per box.
