Send a signing pack

A signing pack is one or more documents sent together to the same people. Each person gets one link that opens every document in the pack, so they sign them all in one go.

Why it helps

  • Send several documents at once, for example an ASIC form and a consent letter.

  • Choose who signs, who only reviews, and who gets a copy at the end.

  • Have people sign at the same time or one after another.

  • Choose how securely clients sign in, from a simple link to a code by SMS.

Start a new pack

  1. Click Signing in the menu.

  2. Click New pack.

  3. Work through the numbered sections below, then click Send pack.

The pack goes out straight away, and a request is used when it's sent.

1. Client

Choose the client the documents are for. If they aren't in OnboardMe yet, click New client to add them without leaving the pack.

Choosing the client

Note: ASIC forms can only be sent to companies. If your pack has an ASIC form, only companies are listed.

2. Documents

Add one or more documents:

  • From your library: search for one of your signing templates or, for Australian businesses, OnboardMe's ASIC forms.

  • Upload a PDF: drag in a PDF (up to 20 MB and 50 pages) to use in this pack only. You then place each signer's fields on it before it's added. It isn't saved as a template.

Adding documents and naming the pack

Each document shows whether it's an ASIC form, a Template or a One-off upload, and how many signers it has.

Pack name is what your client sees. Leave it blank to name the pack after its documents.

3. Who signs

Add each person and choose their Role:

Role

What they do

Signer

Signs the documents.

Viewer

Opens the documents and confirms they've viewed them. They don't sign.

Copied in

Gets nothing until the end, then receives the signed documents and certificate.

Adding the people who sign, review or get a copy

  • Fill in each person's First name, Surname and Email. A Mobile is needed if anything is sent to them by SMS.

  • Pick from the client's contacts to fill in a person quickly.

  • If a document has a signer from your business (set up in its template), switch that person to Your team and choose the team member. They sign inside OnboardMe.

  • Click Add a person to add more.

When there are two or more people, choose the signing order:

  • Everyone at once: everyone gets their link straight away.

  • One after another: each person is asked to sign once everyone before them has signed. Drag people into the order you want.

4. Who signs where

If a document has more than one signer, or there's more than one person, choose which person signs as each signer on each document.

5. Your business's details on the form

If a document has fields your business fills in, such as your ASIC agent details, they're added from your settings. Click Open the form to fill in anything else before sending.

6. How to send it

Choose how the link is sent: Email, SMS or Email and SMS.

Choosing how to send the pack and how clients sign in

Signers get your Sign Form Request email. Click Edit the email to change it for this pack only, or Use default email to go back to your template. You can change the template itself in Templates > Emails.

Then choose How they sign in:

Option

How it works

Link, then a code

Opening the link within 60 minutes of it being sent takes them straight in. After that, or from a copied link, they confirm it's them with a code sent to their email or mobile.

Code every time

They're always asked for a code before they can see the documents.

Code by SMS

They're always asked for a code, and it's only sent by SMS. Use this for two-factor sign-in. Everyone who signs or reviews needs a mobile number.

If your business always asks for a code, Link, then a code isn't available. See How your client signs.

Important: Each SMS costs your SMS price from your wallet, and the total for the pack is shown before you send. If your wallet can't cover it, you'll be asked to top up or send by email only.

Before you send

Send pack stays unavailable until the pack is complete. The hint next to it tells you what's missing, for example:

  • a client or at least one document hasn't been chosen

  • a person is missing a name, email or (for SMS) mobile

  • nobody is set to Signer

  • someone hasn't been given anything to sign

What happens next

  • Each person gets one email or text for the whole pack.

  • With One after another, only the first person is invited. The next person is invited as soon as the one before them signs.

  • The pack appears on the Signing page, where you can follow it. See Manage a signing pack.

  • If you use automated reminders, people who haven't signed are reminded on your schedule. See Setup or Manage Automated Reminders.
