Automated reminders email your clients for you when something you sent them is still waiting: a proposal to accept, an onboarding to complete, an eForm, an ID verification, a clearance letter or documents to sign. You choose how often each one goes out and how many are sent.
Why it helps
Clients are nudged on a schedule you set, so nobody has to remember to chase.
Each area has its own schedule, so you can chase proposals harder than eForms.
Reminders stop by themselves once the item is done, or when the limit is reached.
You can pause or reset reminders for a single item when a client asks for more time.
Turn on automated reminders
Go to Settings > Business.
Open the Automated Reminders tab.
Turn on Enable automated reminders.
For each area, set Send every (days) and Maximum reminders (see below).
Click Save.

Automated reminders are off for every business until you turn them on.
Set the schedule for each area
Each row has its own schedule:
Setting | What it does |
|---|---|
Sent daily at (local time) | The time of day that area's reminders are checked and sent. |
Send every (days) | How many days to wait after the item was sent (or after the last reminder) before the next reminder. |
Maximum reminders | The most reminders one item can get, from 0 to 10. |
Set Send every (days) or Maximum reminders to 0 to turn reminders off for that area only.
Area | Who is reminded | Sent daily at |
|---|---|---|
Proposals | Signatories who haven't accepted the proposal yet | 7:00 AM |
Client Onboarding | Recipients who haven't submitted their onboarding | 7:15 AM |
Ethical Letters (or Professional Clearance) | The accountant who hasn't answered your clearance letter | 7:30 AM |
ID Verifications | Clients who haven't finished their ID verification | 7:45 AM |
eForms | Clients who haven't completed the eForm | 8:15 AM |
Signing | People who still need to sign or review a signing pack | 8:30 AM |
Note: Times are in your region's local time.
How signing reminders work
Signing reminders cover signing packs sent from the Signing page.
Who gets them: each person who still has something to do. Signers who haven't signed get a reminder to sign. Reviewers who haven't confirmed they've viewed the documents get a reminder to review.
Who doesn't: people who are only copied in on the pack, and members of your team who sign inside OnboardMe.
Signing order: if the pack signs one after another, only the person whose turn it is gets reminded. The next person's reminders start from when they're invited, so everyone gets the full number of reminders.
Counted per person: each person has their own reminder count, so one slow signer doesn't use up another person's reminders.
By email only: reminders are always emailed, even if the pack was also sent by SMS, so they never use SMS credit.
A fresh link: each reminder includes a new link to the pack, so the client can open it straight from the email.
Signing packs added to an onboarding or a proposal don't get signing reminders. Your clients sign those inside the onboarding or proposal, so the Client Onboarding and Proposals reminders already cover them.
Pause or reset reminders for one item
Open the item (for example a proposal, an onboarding, an eForm or a signing pack) to see its Automated reminders panel. It shows how many reminders have been sent and when the next one is due.

Pause reminders stops reminders for that item until you click Resume reminders. Paused items show a pause icon in the Reminders column of their list.
Reset reminder count starts the count again from 0 once an item has reached your maximum. The next reminder is still sent one interval after the last one, not straight away.
Important: Resetting the reminder count uses 1 subscription request, or charges your wallet if you have no requests left.
On a signing pack, the people table also shows each person's reminders and when the last one went:

Pausing, resuming and resetting are recorded in the signing pack's History tab.
Edit the reminder emails
Each area has its own reminder email that you can change in Templates > Emails. See Customise email templates.
Area | Email template |
|---|---|
Proposals | Proposal Reminder |
Client Onboarding | Onboarding Reminder |
Ethical Letters | Ethical Reminder |
ID Verifications | ID Verification Reminder |
eForms | eForm Reminder |
Signing | Sign Form Reminder |
Tip: The Sign Form Reminder email uses the same merge fields as the signing invitation, such as [FormName], [CompanyName] and [Link]. Keep [Link] in the email so the client can open the pack.
