Who receives incoming notification emails

Use Reroute Incoming Emails to choose who in your business is notified when a client completes a request sent from OnboardMe.

Note: This setting controls OnboardMe's notification emails to your team. It doesn't change where a client's reply goes when they click Reply on an email from you. For that, see Where client replies go below.

Before you start

  • You need access to Settings > Business.

  • This is a business-wide setting. It applies to incoming notifications for the whole business, not to one user.

Open the setting

  1. Go to Settings > Business.

  2. Open the System Settings tab.

  3. In the left menu, select General.

  4. Find Reroute Incoming Emails.

Choose who is notified

Option

Who gets the notification

Requestor

The person who sent the request.

Business Email

The Email Address on the Business Details tab.

Requestor and Business Email

Both.

If notifications go to an inbox you didn't expect, check this setting first. Many businesses use Business Email. Change it to Requestor if staff should get their own completion emails, or keep Business Email and use a shared inbox such as admin@ or onboarding@.

Check or change the business email

When you use Business Email or Requestor and Business Email, OnboardMe sends to the Email Address field on the Business Details tab.

  1. Go to Settings > Business.

  2. Open the Business Details tab.

  3. Update Email Address if you want a more general business inbox.

  4. Click Save.

Client replies are a separate setting

Notifications and client replies are set in different places:

OnboardMe tells your team a client has completed a request

Requestor, business email, or both

Reroute Incoming Emails (this article)

A client clicks Reply on an email from you

The person who sent the request, or your Reply-To email

Client replies go to on your custom email settings

If you send from OnboardMe's default address, client replies to proposals, onboardings, eForms, ID checks and ethical letters already go to the person who sent the request. If you send from your own Microsoft 365 or Google mailbox, you choose. Billing emails can also come from a separate billing address, with replies going to that address's Reply-To email.

See Where client replies go in Send emails with your business email (Microsoft) for how to set this up.

Tip: For staff to receive both the completion notification and any client replies for their own requests, set Reroute Incoming Emails to Requestor and Client replies go to to Person who sent the request.
