Signing templates are documents you've set up once and can send again and again, such as an engagement letter, a direct debit authority or a consent form. You upload the PDF, name its signers and place their fields. Australian businesses can also adjust the fields on OnboardMe's ASIC forms.
Owners and admins manage signing templates.
Why it helps
Set a document up once and add it to any signing pack in seconds.
Fields are filled in automatically from the client, the signer and your business.
Your team can sign too, for example a partner countersigning an engagement letter.
Open Signing templates
Go to Templates > Signing Templates.

The list shows each document, its Form code and Pages, and Your fields:
OnboardMe default means an ASIC form is using OnboardMe's field layout.
(your layout) means your business has its own fields on it.
Upload a document
Click Upload a document.
Choose a PDF (up to 20 MB and 50 pages) and give it a name.
The editor opens. Name each signer on the Signers tab, then place their fields.
Click Save.
Name the signers
On the Signers tab, add up to 10 signers. For each one, choose:
Client side for someone at the client, such as a director.
Your team for a member of your business, who signs inside OnboardMe.
Each signer gets their own fields. When you send the document, you choose which person signs as each signer.
Place the fields

On the Add tab, choose who the fields are for under Add fields for: one of the signers, or your firm.
Drag a field onto the page, or click it and then click the page.
Select a field to change its properties, such as its Label, whether it's Required, or Fill from to fill it automatically.
Field | What it's for |
|---|---|
Signature | The signer's drawn signature. |
Initials | The signer's initials. |
Date signed | The date they signed, filled in automatically. |
Full name | The signer's name. |
Text | Any text, typed in or filled from client details. |
Date | A date they choose. |
Checkbox | A tick box. |
Firm fields are filled in by your team before the document is sent. Signature, Initials and Date signed can only be signer fields.
Use Fill from to fill a field automatically, for example with the client's name, ACN, ABN or address, the signer's name, your ASIC agent details or today's date.
Check your layout
Turn on Sample values to see the fields filled in with example data.
Click Preview PDF to download a preview with sample data or showing the field layout.
Click Fill in to try filling in the document yourself.
Click Save when you're happy. Changes apply to packs you send from now on.
Adjust an ASIC form (Australia)
OnboardMe's ASIC forms come with fields already placed. Click the edit icon to adjust them. Once you save, your business's layout is used every time that form is sent.
To go back to OnboardMe's layout, click Reset to default in the editor.
Remove a template
Click the bin icon next to one of your own documents. Packs already sent with it aren't affected.
Tip: For a document you only need once, you don't need a template. Upload it straight into the pack with Upload a PDF. See Send a signing pack.
