When everyone has signed, OnboardMe creates the signed documents and one signing certificate for the pack. This article covers where to find them and how to check that a document someone sends you is genuine.
Why it helps
The signed documents and certificate are emailed and saved automatically.
The certificate records who signed, how they signed in and when, for your records.
You can prove a signed document hasn't been changed since it was signed.
When a pack is signed
Everyone on the pack (signers, viewers and people copied in) is emailed each signed document and the signing certificate.
For packs sent from the Signing page, the person who sent it gets a notification in OnboardMe and an email with the documents attached, with a button to open the client.
The signed documents are listed on the client's Documents, where you can preview and download them.
For packs on an onboarding, the signed documents and certificate are also saved with the onboarding's documents.
Download the signed documents
Open the pack from the Signing page.
Click Download pack at the top to get a zip of every signed document and the certificate.
Or use the Download menu next to a document: Download the signed form, Download the signing certificate or Download both in one PDF.
If your business uses FYI, click Upload to FYI to file a signed document against the client in FYI.
The signing certificate
The certificate is a separate PDF, branded with your logo. It includes:
the documents in the pack, the company and who requested the signatures
for each signer: their contact details, the capacity they signed in, how they signed in, their IP address and device, when they were sent the pack, opened it, reviewed it and signed it, and their signature
each viewer and when they confirmed they'd viewed the documents
the declaration they agreed to
the full audit trail
Note: The certificate is kept separate from the signed document, so the document itself can be lodged without signing-tool markings.
Signed documents and certificates are kept for 7 years.
Verify a signed document
If someone sends you a document signed through OnboardMe, you can check it hasn't been changed since it was signed. Owners and admins can do this.
On the Signing page, click Options > Verify a signed document.
Choose the PDF and click Verify.

Genuine and unchanged means the file exactly matches the copy stored when it was signed. You'll see the pack, client, documents and who signed, with a link to open the pack.
No match means the file isn't one we stored, or it has been changed.
Tip: This works for a signed document or certificate downloaded on its own, including from a pack's zip. A combined PDF (document and certificate together), or a copy that has been printed, scanned or saved again, won't match even if nothing was changed.
The file you upload is only checked, not kept.
