When the checklist is done, the Customer Due Diligence (CDD) case is signed off and completed. Medium and high risk cases need approval first.
Why approval and completion matter
Higher risk clients get a second pair of eyes. Medium and high risk cases can't be completed until a nominated approver has approved them.
The client's risk is updated for you. Completing a case sets the client's risk rating and their next AML due date.
You have a record you can produce. Every completed case can be downloaded as a PDF, with evidence and ID certificates attached.
When approval is needed
Final risk rating | Approval |
|---|---|
Low | Not required. You can complete the case |
Medium or High | Required before the case can be completed |
Send a case for approval
Complete section G, including G1. Final onboarding checks and G3. Final risk rating.
Go to H. Sign-off and find AML/CTF approval. The panel has this name in every country.
Check the Nominated approver. This is your AML Officer by default.
Add a Message for approver if you like.
Leave Send email notification on to email the approver.
Click Send for approval.

The approval status changes to Pending Approval. The approver receives an email with a link to the case.
Tip: If you're the approver, click Approve now to approve the case yourself.
Approve, reject or request changes
The approver opens the case, reviews it, adds an Approval note and chooses:
Button | Result |
|---|---|
Approve | Approval status becomes Approved. The case can be completed |
Request changes | Status becomes Changes Requested. The preparer is emailed with the note |
Reject | Status becomes Rejected. The preparer is emailed with the note |
If an approved case's answers or final risk are changed later, it goes back to Pending Approval.
Approval statuses
Status | Meaning |
|---|---|
Not Required | Low risk. No approval needed |
Not Nominated | Medium or high risk, but no approver nominated yet |
Pending Approval | Waiting for the approver |
Approved | Approved. The case can be completed |
Changes Requested | The approver wants changes before approving |
Rejected | The approver rejected the case |
Complete the case
Go to H. Sign-off.
Fill in the sign-off Name, Role, Date and Date the designated service started to be provided.
Click Complete.
If some sections have unanswered questions, OnboardMe asks you to confirm. Choose Review incomplete sections or Complete anyway.
When the case is completed:
its status changes to Completed, with who completed it and when
the client's risk rating is updated to the final risk rating
the client's next AML due date is set from your renewal periods (by default 36 months for low, 24 for medium and 12 for high risk)
Note: The client's risk is only updated if the case is linked to a client. See Starting a CDD case to change the linked client.
If you've turned on Monthly AML renewal email, your AML Officer is emailed each month with the clients due for review the following month. See Setting up Customer Due Diligence.
Reopen a completed case
Click Reopen to unlock a completed case. It goes back to Draft, and the change is recorded in the activity history. Complete it again when you're done.
Download the case PDF
Click Preview PDF, then Download PDF. The PDF includes:
case details, client and risk rating
every section of the checklist, including sanctions and PEP records
the client's information request answers
sign-off details
uploaded evidence PDFs and ID verification certificates, added at the end
If the client is connected to FYI, use Save to FYI to file the PDF there.
Note: Approval decisions and the activity history aren't included in the PDF. They're kept on the case.
Activity history
The Activity tab shows a full audit trail for the case, including:
when it was created, completed, reopened, archived or restored
information requests sent and submitted
each section completed
checklist changes and client changes
approval requests and decisions
The next review
OnboardMe doesn't create next period's case automatically. When a client is due for review, start a new case from their next proposal or from Identity & AML → Customer Due Diligence.
