See who changed a client record, what changed, and when. The History tab on a client shows a field-by-field audit trail for that client in OnboardMe.
What this history covers
The client History tab (shown as Activity inside the tab) records changes to the client record itself, such as:
Name, contact details, and addresses
Client status (Lead, Client, Terminated, Associated)
Client code, tax numbers, and registration details
Bank details and related flags
Office, group, partner, manager, and in charge assignments
Service flags (Tax client, SEC client, AML client)
Notes and external system IDs
Client deletion
Each line shows what changed, who made the change (or which system), and the date and time in your local time zone.
Before you start
The client must already be saved. New clients show a message until the record exists.
You need access to open and view clients in OnboardMe.
How to open client history
Go to Clients (or Leads for a lead record).
Open the client you want to review.
Select the History tab.
Review the Activity list. Use the refresh icon in the top-right to reload the latest entries.
Who appears in the history
Every entry ends with by followed by a name or source:
Practice users
When someone in your practice saves client details, marks a client as terminated, deletes a client, or updates a client through a workflow that saves the record, you see their user name. Examples include:
Editing the client on the Details tab and clicking Save
Bulk client import that updates existing clients
Onboarding workflows that write client fields back to the saved client record
Integrations
When a connected integration updates client fields during a sync, the integration name is shown instead of a person. Supported sources include:
Xpm (Xero Practice Manager)
Xgl (Xero Ledger)
FYI
GreatSoft
KloudConnect
Only fields that integration is allowed to change are listed. A single sync can produce several lines if multiple fields changed.
Deletion
When a client is deleted, you see Client deleted with the client name (and status where recorded), attributed to the user who performed the delete.
How to read each line
Entries are listed newest first. Each row has a description on the left and a timestamp on the right (day/month/year and time).
Common formats:
Field changed from old value to new value by actor
Empty [field] set to value by actor (a field was blank and is now filled in)
[Field] cleared (was old value) by actor (a value was removed)
Client deleted by actor
Changed values are shown in bold. Client status values use the same labels as the client screen (Lead, Client, Terminated, Associated). Partner, manager, in charge, and group changes show names where OnboardMe can resolve them.
Pagination and refresh
Activity loads five entries at a time.
Use the pagination controls at the bottom to move between pages when there are more than five changes.
Click the refresh icon to fetch the latest history without closing the client.
What is not shown here
Client History is for client record fields. It does not include:
Onboarding History (recipient steps, document uploads, verification events during an onboarding). Open that from the onboarding screen via Onboarding History.
Proposal or engagement signing activity
Billing, invoice, or payment change history (those have their own history on bills and invoices)
eForm section edit history
Creating a brand-new client with no later edits (only changes are recorded, not the initial create)
Tips
If you expected a change but do not see it, confirm the client was saved and use refresh. Integration updates appear after the sync runs.
Several lines at the same time often mean one save or one sync changed multiple fields.
Physical and postal address updates may show as address reference IDs rather than the full formatted address.
